Paper Copy AIA/CES Transcripts
Now Available by Request Only

The annual March mailing of AIA continuing education transcripts will no longer occur as in past years. The "official" CES transcript mailed from the University of Oklahoma is still available to members, but only upon request. Each member may still receive one free copy, while additional copies remain $10 each.

There are many reasons for this change of policy, all having to do with the increasing complexity of records keeping and decreasing logic of sending all transcripts at once. In 1995, when the AIA continuing education transcript first appeared on the AIA Web site, the AIA/CES Records office recorded 250,000 activities for 30,000 AIA members. Today, the AIA/CES Records office records 850,000 activities annually for 60,000 members. In 1995 only three states—Alabama, Florida, and Iowa—had a mandatory continuing education requirement (MCE) in place. With the AIA annual reporting date at the end of the year (with allowances for carryover and deficit credits), and with the Florida MCE reporting due the end of February; Iowa, the end of June; and Alabama, the end of September, a once-a-year transcript made sense. Life was simple.

Today, there are 22 states and 7 Canadian provinces that have MCE reporting requirements, literally, every month of the year. Compounding the complexity is the fact that the average member holds four state licenses. A once-a-year transcript is no longer practical.

In most cases, we have found, the CES online transcript is the transcript of choice. Because the online transcript only has a membership number, no name or address, some additional documentation may be required when proving compliance with a state MCE requirement. Most states accept the CES online transcript when the member attaches a photocopy of his or her membership card. (We also recommend sending a copy of your driver's license along with the membership card). Some members still need a printed transcript, however, so we are keeping that option open.
